Parlee McLaws LLP is a well-established law firm with over 125 years of experience here in Alberta and we’re looking for a talented Wills & Estates Legal Assistant / Paralegal to join our growing team in Edmonton. Ideal candidates are highly motivated and customer service oriented with a strong foundation in Wills & Estates.  The successful candidate will possess knowledge and experience in other practice areas to support the Firm as needed.  If you are a team player, thrive under pressure, and have a high attention to detail, this role could be for you.

Duties and Responsibilities

  • Be the primary administrator for incoming Wills & Estates files for our group of junior, intermediate, and senior lawyers
  • Be the primary administrator for the wills vault by tracking and maintaining vault inventory
  • Prepare a variety of legal documents including wills and probate applications, and correspondence based on written, verbal, and dictated instructions
  • Manage incoming inquiries from prospective clients, including gathering pertinent information, preparing conflict searches, and preparing engagement letters as required
  • Assist with trustee and guardianship files as required
  • Complete accounting related tasks such as preparation of invoices, verifying accounts and handling trust transactions, cash receipts, retainers, and credit card payments
  • Support other administrators in the Wills & Estates team and mentor / coach as opportunities arise
  • Prepare and register estate transmission and transfer documents with land titles office
  • Record and bill out own time as applicable
  • Keep diary system of upcoming deadlines
  • Prepare expenses for reimbursement for the assigned lawyers
  • Support other assigned practice areas as needed (dependent on applicant’s prior experience)
  • Complete other tasks including office and file management

Position Qualifications

  • Post-secondary education from a recognized Legal Assistant/Paralegal program
  • Superior and current knowledge of Wills & Estates law and processes as a Legal Assistant or Paralegal
  • Current significant experience with the new Surrogate Rules and new Surrogate Forms
  • Understanding of basic accounting principles
  • Intermediate to advanced knowledge of MS Office programs
  • Experience with Gsinq software is an asset
  • Must speak, read, and write English fluently
  • Excellent analytical, communication, and interpersonal skills
  • Exhibit attention to detail and be committed to producing accurate, high-quality work
  • Organize, prioritize work, and meet deadlines with a high degree of personal initiative
  • Handle confidential information in an ethical and professional manner
  • Able to work efficiently and collaborate within a team as well achieve results independently
  • Strong customer service and relationship building skills
  • Readily adapt to changing priorities and effectively work in a changing and high-volume work environment
  • Possess problem solving skills with a proactive mindset
